DIY Sales CRM

Save thousands! Skip the hefty price tags of traditional CRM software.

Most sales or lead tracking CRM charge ten to fifteen USD per user per month. That may not be a large amount for big businesses, however an annual cost of USD 600 for a team of five might be discouraging for smaller businesses.

You can ditch the recurring cost. Let me show you how to create sales CRM in Google Sheets.

This step-by-step demo shows you how to:

  • Create a lead capture form using Google Forms (mobile-friendly!)
  • Connect it to a customizable Google Sheet for data tracking
  • Analyse your leads with easy-to-build reports and charts
  • Share your system with your entire team for seamless collaboration

Stop paying – Start tracking!

The video above is a step by step tutorial where I have used Google Forms and Sheets:

  • Start by writing down your requirements on paper: what information, fields and reports do you need in the sales CRM. (Read my LinkedIn article about the 4 step process for designing business templates).
  • Create a Google Form for adding new leads – the form will have basic lead information such as company name, contact person, phone number, email etc.
  • Link the Google Form to a new Spreadsheet (follow the instructions given in the video tutorial)
  • Now, add additional columns in the same spreadsheet to monitor the status and progress of leads
  • Create reports (tables and charts) in a new Dashboard worksheet – These will help you monitor the sales and marketing KPIs
  • Now edit the Sharing settings to give edit or view access to other team members

Note: Every person needs to have a Google account to edit the Google Sheets CRM.

Access to the Google from and view access to the spreadsheets can be granted to anyone, irrespective of whether they have a Google account or not. However, to be able to edit the spreadsheets, you need either a FREE Gmail account or a G-Suite account.

Google Sheets Formulas for Sales CRM

Lead Tracking using Google Sheets.

You do not have to be an advanced Excel or Google Sheets user to create sales CRM in Google Sheets.

In the video tutorial, I have used basic Google Sheets formulas for sales reports and tables.

I have not used advanced Google Sheets formulas, third party plug-ins or Pivot Tables.

In this Google Sheets Sales CRM which is used by several small businesses, I have used these basic Google Sheets formulas:

  • If, Count and Sum
  • Sum-if and Sum-ifs
  • Count-if and Count-ifs
  • Use of “If-Error” function to avoid display of errors for blank data
